1. Our role: data fiduciary and data processor

For the personal data of our own website visitors, demo requesters and the staff accounts of our customers, HANARAD PLATFORM PRIVATE LIMITED is the data fiduciary.

For candidate, client and vendor data that a customer (a tenant, such as a staffing firm) stores inside Hana Hire, the tenant decides why and how it is used. We act as its data processor under the subscription agreement and a data processing agreement.

2. Information we collect

• Website and demo enquiries: name, work email, phone number, company, team size and message
• Account information for tenant staff: name, email, role and sign-in activity
• Tenant content entered by customers: candidates, resumes, clients, vendors, jobs, submissions, interviews, offers and invoices
• Technical data: IP address, browser type and security logs needed to keep the service safe

3. How we use it

We process enquiry data on the basis of the consent you give by submitting the form. We do not sell or rent personal data.

• Respond to enquiries, schedule demos and send relevant follow-ups
• Provide, secure, support and improve the Hana Hire platform
• Send service notices such as invitations, password resets and billing information
• Meet legal obligations and prevent abuse

4. Tenant data isolation and security

Each tenant's data is logically isolated from every other tenant's data, enforced in the database as well as in the application. Data is encrypted in transit, passwords are stored hashed, and access to production data is restricted to authorized personnel.

5. Data sharing

We share data only with service providers that help us run the platform (hosting, email delivery), with authorities when the law requires it, and in connection with a merger or sale of the business. Our group company Raidlayer Webhost Private Limited provides hosting infrastructure.

6. Retention

Enquiries are kept as long as needed to follow up and are deleted on request. Tenant data is kept while the subscription is active and for a limited period after cancellation so it can be exported, then it is erased. Tenants control the retention of their own candidate records.

7. Your rights and erasure requests

Under the DPDP Act you can ask to access a summary of your personal data, correct or update it, have it erased, withdraw consent, nominate another person to exercise your rights, and have grievances redressed. Write to business@hanaplatform.com.

If you are a candidate in a tenant's database, send the request to that tenant (the data fiduciary for your data); we will help the tenant action it. Tenants can export data and submit erasure requests from the product settings.

8. Cookies

The product uses a session cookie only, to keep you signed in. See our Cookie Policy for details.

9. Demo environment

The live demo contains sample data only and resets every night. Do not enter real personal data into it.
